What we collect, and why

If you book a consultation, we collect your name and email address, and your answers to a short set of questions about your work — sector, field, organisation size, and your self-assessed experience with the tools and concepts we might discuss. This is to help us prepare for, run, and follow up the conversation you booked. The lawful basis is our legitimate interest in responding to an enquiry you initiated.

We do not sell, share or trade your information. We will not add you to a mailing list.

Where your information lives

Booking and scheduling are handled by Cal.com; the calendar event and video call are provided by Google (Calendar and Meet). Both act as processors, and each has its own privacy policy. Your answers also arrive with us by email and may be kept in our private working notes.

Recording and AI transcription — your choice, asked explicitly

When you book, we ask directly whether you agree to the call being recorded and transcribed using AI. This lets us produce your written follow-up quickly and accurately, from what was actually said rather than from memory.

If you say yes: the recording is made and stored on our own machines only — no third-party recording bot joins the call — and transcription runs with AI on that same hardware. The recording is deleted within 30 days of your follow-up being sent; the transcript is kept as our record of the conversation and deleted on request. Where AI tools assist in preparing your follow-up, we use them only under terms that do not train on your data. You can change your mind at any point — say "no recording" during the call and it stops, or ask afterwards and the recording and transcript are deleted.

If you say no: no recording, no transcription, and your follow-up is written from notes. Saying no has no effect on the consultation itself.

Retention and your rights

We keep booking information while it remains relevant to an active or recent conversation, and delete it on request. You have the right to ask for a copy of what we hold about you, to correct it, or to have it deleted — email hello@ktandb.co.uk. You also have the right to complain to the Information Commissioner's Office.
